Updated Policy - Cancellation & Late Fee - Effective 7/1/25

Please carefully review the updated terms below, which apply to both decor rentals and day-of coordination services for current and new clients:


Decor Rental Terms & Conditions

1. Liability
The client assumes full responsibility for rented items during the rental period. Southern Made Rentals is not liable for any injury, damage, or loss resulting from their use.

2. Cancellation Policy
Cancellations must be submitted in writing.

  • 6+ months before the event: Refund of all payments minus the deposit and 30% cancellation fee

  • 4–6 months before: Refund minus the deposit and 45% cancellation fee

  • 60 days–4 months before: Refund minus deposit and 60 % cancellation fee

  • Less than 60 days: No refund

3. Return Policy
All items must be returned by the agreed-upon pickup date. Late returns will incur additional rental fees.

4. Indemnification
The client agrees to indemnify and hold harmless Southern Made Rentals from any claims, damages, or legal actions related to the use of rented items.

5. Late Fee Policy
To maintain service standards, please be aware of the following fee structure:

  • 15 days past due: $25 late fee

  • 30 days past due: $50 late fee

  • 45 days past due: $100 late fee

  • 60 days past due: Contract may be cancelled, and rental terminated without refund

We ask that payments be made promptly to avoid late fees and potential cancellation of your rental agreement.


Day-Of Coordination Terms

1. Scope of Services
Day-of coordination includes managing your event timeline, overseeing vendor arrival, and ensuring smooth execution.
Note: Décor setup/breakdown that is not provided by Southern Made is not included unless agreed upon in writing for an additional fee.

2. Cancellation Policy

  • 6+ months before the event: Refund of all payments minus the deposit and 20% cancellation fee

  • 4–6 months before: Refund minus the deposit and 35% cancellation fee

  • 60 days–4 months before: Refund minus deposit and 50% cancellation fee

  • Less than 60 days: No refund

3. Payment Terms

  • Payments must be made by agreed-upon dates

  • 10% late fee added every 7 days past due

  • 30+ days past due: Services may be cancelled, and the deposit forfeited

4. Liability & Responsibilities
While we strive for a seamless event, we cannot be held responsible for circumstances outside of our control (e.g., weather, vendor issues). The client remains responsible for all vendor and venue payments unless otherwise stated in writing.
